As a member of this collaborative team, you can expect a safe, diverse and inclusive environment, and on-going learning and career development opportunities.Reporting to the Office Manager, the Administrative Assistant provides administrative and clerical support to the division (including proposal, pre-construction, estimating and construction teams). They will assist with day-to-day tasks while streamlining efficiencies in order to ensure the broader team can focus elsewhere. This will include booking meetings, answering phones and emails, attending to general queries, performing project-based work such as data entry and basic IT support, arranging catering, admin support during estimate closing and general proposal and marketing requirements. Other responsibilities could include office-management functions like, booking travel on behalf of staff, and reconciling expense reports.As an Administrative Assistant at Graham you will:

  • Assist with event planning and management.
  • Prepare meeting agendas, organize meetings, and produce minutes.
  • Manage travel arrangements, and at times perform expense reconciliation.
  • Provide occasional switchboard and receptionist relief during the day or as part of vacation coverage.
  • Ensure both internal and outgoing documents are accurate and in line with Graham’s brand standards.
  • Ensure meeting costs are in line with the direction of the team, and be conscious of meeting pricing.
  • Order corporate promotional materials and coordinate delivery as required.
  • Liaise with external clients, and develop and maintain relationships with parallel roles in other organizations.
  • Maintain high level of professionalism with internal clients.
  • Demonstrate initiative and a willingness to take on new tasks, and present new and creative ideas.

Qualifications/Experience:

  • Current post secondary student looking for a 12-month internship within General Contracting or a post secondary graduate with an interest in Construction, Office Administration or Project Administration.
  • Current Administrative Professionals with multiple years of experience and an interest in a 12-month contract role will also be considered.
  • Outstanding Communications skills (written and verbal).
  • An excellent grasp of the MS Office Suite and a basic knowledge of SAP would be an asset,
  • Strong time-management skills and a customer service oriented approach.
  • An ability to work from the divisional office (2105 Matheson Blvd East, Mississauga) Monday to Friday, 8:00am to 5:00pm.
