This role is based in our downtown Calgary head office and supports the administration team, document control functions, and client needs. The successful candidate will assist with document control tasks, administrative and financial duties, and ensure smooth daily operations. The ideal candidate is professional, friendly, highly organized, and dependable, with a strong ability to handle confidential matters discreetly.Key Responsibilities
The Administrative Assistant/Junior Document Control will be responsible for:Primary Duties:Assisting with document control tasks, including maintaining databases, templates, and records.Providing reception coverage as needed.Supporting financial tasks such as invoicing, payroll, and accounts payable/receivable.Secondary Duties:Administrative Duties:Collaborating with the administrative team to provide executive-level office support.Organizing and documenting meetings, scheduling, and providing meeting room support.Assisting with onboarding new staff, including preparation and setup.Contributing to the development and implementation of standards, policies, and procedures.Organizing corporate events and participating in the Safety Committee.Managing office supplies, general administration tasks, and other duties as assigned.Supporting time and billing processes using in-house software.Responding to general inquiries, receiving guests, and managing deliveries.Overseeing phone system operations.Accounting Duties:Managing accounts payable, invoice approvals, and data entry into accounting systems.Supporting benefits programs.Performing bank and visa reconciliations in multiple currencies.Assisting with data collection for cash forecasting.Qualifications
The ideal candidate will possess:Post-secondary education with 5+ years of administrative experience.At least 1 year of document control experience (training provided).Proficiency in Microsoft Office Suite; experience with BQE Core, QuickBooks, or similar platforms is an asset.Strong verbal and written communication skills.Adaptability and openness to change.Financial literacy and human resources experience (an asset).Excellent organizational and problem-solving skills, with the ability to multitask and prioritize.Experience managing multiple projects and meeting deadlines.The ability to build professional relationships across diverse technical backgrounds.Strong attention to detail and a willingness to learn.Availability to work full-time at the downtown Calgary head office.What We Offer
