Job description: Overview:The Office Manager supports all senior staff and is responsible for the day to day management of the office operations. This position has an instrumental role in the transition of operations from STERLON to North Coast Solutions of Canada to establish a fully functioning Canadian legal expense insurance company as part of the AmTrust Group. Responsibilities:
- Oversight of corporate operations.
- Provide customer service and handle customer enquiries.
- Oversight of all service providers including payment of invoices i.e telephone system, Hydro, security system, off-site storage.
- Oversight of Bell Total Connect system including call routing schedules, hunt groups, public holiday schedules and auto attendant recordings and application.
- Regular communication with all insurance brokers and coverholders, the telephone advisory service, the Insurer.
- Supervision and development of junior administrative assistants.
- Fully conversant with the duties of the administrative staff and able to carry out their functions as required.
- Provide clerical assistance to the claims adjuster and other senior staff including correspondence, research, drafting policy documents.
- Liaison with professional service providers i.e bookkeeper, IT.
- Liaison with accountant and overseeing all corporate filings with Revenue Canada.
- Updates information on corporate website and liaises with webmaster.
- Development and maintenance of an inventory tracking system.
- Approving all expenditure on office supplies.
- Ordering of office equipment i.e computers, printers, office furniture.
- Processing payroll.
- Data base management and analysis of data.
- Liaison with insurance brokers/coverholders regarding data uploads, incorrect data, missing data, duplicate data.
- Undertakes all banking matters.
- Develop and maintain office operating manuals e.g. claims, emergency response.
- Willingness to develop a basic understanding of legal issues and policy coverages specific to legal expense insurance.
- Performs other functionally related duties.
Qualifications:
- 10+ years of experience in Office Management.
- Exceptional communication skills, both oral and written; professional telephone etiquette, strong presentation skills for both internal and external audiences; comfortable with/proficiency in public speaking.
- Excellent relationship management skills.
- Ability to manage multiple tasks simultaneously.
- Strong organizational and analytical skills to support outlined responsibilities.
- Self-motivated, innovative and able to work autonomously with little direction.
- Strong interpersonal communication skills with both customers and within the corporation.
- Excel, Word, Publisher, PowerPoint skill sets.
