Reporting to the Construction Manager, the Construction Administrative Assistant is a member of the construction team who plays a key role in supporting documentation and communication activities on all projects. They assist with the preparation and management of the workflows for subcontracts including the filling and circulation of executed documents.What we offer:

Duties and Responsibilities
- Assist the Project Management team in the documentation and administration of projects.
- Disseminate project information to team members.
- Prepare and assemble subcontract documentation for distribution and execution ensuring that packages are accurate and complete.
- Administer the workflow for the project subcontracts ensuring that they are executed and distributed in a timely manner.
- Ensure all executed subcontracts are filled, organized and distributed to for project team access.
- Assist in the compiling and verifying sub-contractor insurance certificates, WCB documentation, and safety documentation for projects.
- Process subcontract Change Orders from customer selections in individual suites.
- Administer the distribution of executed change orders to the project team, project site, and impacted contractors for implementation.
- Assist in the collection and organization of unit specific selection summaries for warranty and turnover packages.
- Assist in the planning and implementation of Health and Safety Program on site by organizing and compiling required documentation and ensuring it is distributed to the project team.
- Prepare meeting minutes and distribute meeting minutes from department meetings as required.
- Assist in Construction Department initiatives through preparing and drafting supporting documents for review by Construction Manager.
- Assist in the preparation and organization of project proposals.
- Ensure monthly Project Progress reports are completed and submitted on time.
- Assist in the maintenance of the quality & safety documentation across various sites.
- General office duties such as phone calls, filing, photocopying, printing documents.
- Other related duties as assigned
Qualifications
- High School Diploma required.
- Completion of a relevant certificate or diploma in construction management & administration or office administration is preferred
- Three (3) to Five (5) years of administration experience for a builder, developer, or general contractor.
- Effective oral and written communication skills in English.
- Intermediate computer competencies required.
- Proficiency in MS Office Software (Outlook, Excel, Word, PowerPoint).
- Experience with Procore Project management software, DocuSign and Bluebeam preferred.
- Ability to manage multiple competing priorities with limited direction
- Self-starter with the ability to work productively individually or as part of a team.
- Strong ability to logically organize and compile information so it is easy for others to understand.
- Criminal Records Check to the company’s satisfaction is required.
- Manual dexterity is required to work with computers and peripherals.
- Work is performed at the head office. Remote or Hybrid work not available
