Job description: LaPrairie Group of Companies is looking for a Corporate Administrator to join its team in downtown Calgary, Alberta.The Corporate Administrator is responsible for a wide variety of administrative duties in support of LAPRAIRIE’s several operating divisions across North America.You will facilitate general administration, office management, reception and communications duties and complete projects in a timely manner with limited supervision.This role is best suited to those who enjoy variety in their day, managing multiple tasks and projects at once, and who thrive working independently.Job ResponsibilitiesReception Duties
- Receive, screen, and redirect incoming calls and inquiries to the appropriate individuals, departments, locations, or company. Take and send messages as required.
- Coordinate domestic and international shipments.
- Order office supplies and maintain supply inventory.
- Liaise with Building Management. Coordinate office cleaning, maintenance and repairs.
- Arrange and book meetings in boardrooms, off-site conference halls, and other locations; ensuring required items are there (appropriate presentation equipment, catering etc.).
Communications Duties
- Create, post, and monitor social media postings on a variety of online platforms (LinkedIn, Facebook, Twitter etc.).
- Create and post company communications postings.
- Review documentation for correct formatting, content, grammar, spelling and make edits as required.
- Draft, format, and edit company communications including memos, letters etc., for approval.
- Order business cards and company promotional materials as requested.
- Assist with the planning and execution of events.
Administration Duties
- Facilitate Office safety program and coordinate online training.
- Collaborate with multiple LaPrairie team members and departments on projects as required.
- Complete accounting coding tasks and data entry.
- Maintain administrative procedures and manuals.
- Maintain a high level of confidentiality in all interactions.
Requirements
- Post-secondary degree, diploma or designation relating to Communications, Business, Business Administration, or another related field.
- 3-5 years of experience working in administration and/or communications.
- Independent worker with superior time management skills.
- Able to prioritize tasks and complete duties with minimal supervision.
- Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint.
- Willingness to train and learn new procedures, software and polices.
- Excellent writing skills, including proper spelling, grammar, and punctuation.
- High level of sound and independent judgment, reasoning, and discretion.
