More information about the department can be found at: www.physics.ualberta.ca.PositionReporting to the Academic Department Manager, this position is part of the small administrative team that supports departmental operations. This position is one of two positions that acts as the first point of contact for a wide variety of human resource, finance, communications, and facility issues. The position assists people with navigating and understanding processes, policies, and procedures and plays a critical role in assisting with and resolving issues from the Physics community of end users.Duties
- Initiates and maintains end-to-end payroll transactions and ensures payroll deadline dates are met for support positions, undergraduate scholarships, Trust & Research Academic Staff and provides support for all human resources transactions which includes appointments, leaves, terminations, retirements and annual reviews, salary and benefit adjustments.
- Serves as backup initiator for other categories of staff and any administrative services provided to the Physics community.
- Initiates and maintains end-to-end finance transactions for the unit including but not limited to, deposits, internal & external billing, journal vouchers, purchasing and receiving of departmental purchases. The position works with researchers to clear over expenditures, correct any errors and escalates any complex issues to the appropriate level.
- Provides guidance and support to the Physics community in any operational end-user processes and enterprise software inquiries.
- Assists in the distribution of key access to the Physics community of end users, updates the space allocation record and ensures offices and workstations are clean and ready for new occupants.
- Other duties as required.
Minimum Qualifications
- Post-secondary diploma in business administration, accounting, or human resources.
- 2-3 years in post-secondary operational support with a business administration, accounting, or human resources focus.
- Proficiency on a Windows operating system, MS Office, and the Google Suite of applications.
- Demonstrated ability to develop and maintain positive, professional, and collaborative relationships with all stakeholders at all organizational levels.
- Excellent problem-solving and written communication skills, including the ability to investigate, analyze and resolve issues.
Preferred Qualifications
- Demonstrated proficiency with Peoplesoft HCM, Financials, Campus Solutions, and SupplyNet.
