Learn more about the opportunities we create for students, employees, and our province atPosition SummaryReporting to the Director, Information Technology Services, this position provides administrative oversight for the broad and diverse needs for both Information Technology (ITS) and Strategy, Risk and PMO (SRP) departments.This role supports cross-departmental collaborations and integrations, and coordinates administrative duties, processes and projects within ITS and PMO/R/S. This position requires a high level of professionalism, discretion, and the ability to independently handle multiple tasks and responsibilities simultaneouslyPosition responsibilities and accountabilities include but are not limited to:Administrative Oversight

  • Provides direct support to ITS and SRP Directors, facilitating cross-departmental collaboration and change management.
  • Manages Directors’ schedules, travel, meetings, and event logistics.
  • Oversees departmental files, records management, and documentation (e.g., invoicing, contracts, space utilization).
  • Coordinates purchasing, P-card reconciliation, and staff-related processes, including payroll and onboarding.
  • Serves as a liaison between Directors and stakeholders, ensuring smooth communication and coordination.
  • Prepares reports, correspondence, and research as needed.
  • Maintains departmental information on intranet and website; supports meeting room scheduling.

Project & Process Coordination

  • Leads assigned projects, including space management, budget reviews, and process improvements
  • Develops and implements operational procedures aligned with college policies.
  • Supports Directors and Managers with staffing processes and compliance.

Cross-Departmental Collaboration

  • Acts as a liaison with People & Culture, Finance, and other departments for payroll, forms, and processes.
  • Coordinates staff onboarding logistics and orientation materials.
  • Tracks professional development requests and financial submissions.
  • Monitors budgets, tracks expenses, and ensures compliance with financial policies and procedures.

Key Contributions
Ensures efficient operations through proactive problem-solving and attention to detail.

  • Provides advice and support to administrative staff across departments.
  • Drives interdepartmental communication and supports overall departmental objectives.

Qualifications

  • Diploma in a related field – Business Administration, Accounting, or Financial Management preferred
  • 3-5 years of related experience
  • Proficient with MS Office applications including a thorough knowledge of database functions/operations.
  • Excellent communication; analytical, research skills
  • Ability to work on a variety of complex tasks within an open-office environment
  • An equivalent combination of directly related education and experience may be considered
