We strongly believe in the power of recreational activities to support these needs.PositionReporting to the Manager, Campus & Community Recreation (CCR), Client Engagement, the, Facility Allocation & Events Supervisor is an integral member of the Client Engagement team. Campus & Community Recreation supports the management of sport and recreation facilities, programs, services and events serving a variety of communities including University of Alberta students, staff, Faculty and general community members. Campus & Community Recreation also supports the facility and service needs of the Faculty of Kinesiology, Sport, and Recreation and the Varsity Athletics programs through the provision of dedicated sport and recreation space for teaching, research, training and competition.The Facility Allocation & Events Supervisor provides leadership and supervision to the Bookings and Events Facilitation team within Campus & Community at the University of Alberta. The Supervisor participates in the development and activation of the Campus & Community Recreation overarching goals and assists team members in understanding the linkage between their day-to-day activities and the overarching goals of the organization. The Supervisor is an active participant in the CCR Leadership Group which consists of all supervisory staff within CCR, contributing ideas, collaborating with colleagues and initiating discussions to improve the delivery of service to CCR clients.The Facility Allocation & Events Supervisor leads a team of 2 full-time direct reports. The Bookings and Events Facilitation team is responsible for the effective and efficient allocation of all sport and recreation facilities managed by Campus & Community Recreation, including Van Vliet Complex, Education gymnasium and studios, Saville Community Sports Centre East, Foote Field and multiple outdoor spaces. In addition, the team responds to and administers all requests for Outdoor Space Bookings on North campus, South campus, and Campus Saint Jean. The team supports the consistent, effective and efficient allocation and use of space in all facilities. The Bookings and Events team ensures the facility booking process and requirements for use are conducted in a professional, detail-oriented manner. The Supervisor works closely with staff members to ensure the exemplary delivery of client-focused service. The Supervisor will build relationships and partnerships with both internal and external clients to enhance the use of all facilities managed by CCR.The Facility Allocation & Events Supervisor leads annual planning associated with sport and recreation facility allocation, contract development and delivery and collection of fees associated with facility use. The Supervisor is the key contact for allocation of space under the stewardship of Campus & Community Recreation. The Supervisor develops and leads administrative functions including space allocation guidelines, contract development, contract signing by delegated authorities, recommendation of rental rates, collection of fees and follow-up on accounts receivable. The Supervisor will be a key resource for Bookings and Event Facilitators for support, guidance and direction as requiredDuties

  • Reviews, assesses, and makes decisions regarding space allocation requests for all activities in accordance with space use priority guidelines and discount policies within spaces stewarded by Campus & Community Recreation.
  • Develops, reviews, and leads recommendations of revisions of facility allocation and bookings processes annually to create efficiencies, effectiveness, and consistency across CCR facilities.
  • Collaborates with booking facilitators, Recreation Facility Operators regarding event/program space logistics including space requirements, activity setup, event/program logistics, facility access, load-in/load-out requirements, and “best practices” for space use.
  • Leads and delivers client-focused customer service for all inquiries made to Campus and Community Recreation bookings; anticipates client needs, proactively addresses concerns, and redirects inquiries where appropriate.
  • Prepares annual revenue budget for all facility rental areas.
  • Utilizes Intelligenz to input facility bookings, manage space availability, and identify conflicts to support equitable facility allocation.
  • Utilizes data in Intelligenz to develop accurate and informative analysis of schedules and bookings.
  • Communicates with clients the facility safety operation procedures including Emergency Response plans and supports clients in developing appropriate emergency response plans for activities/events taking place within the University sport and recreation facilities.
  • Develops and leads emergency management planning for events located in Van Vliet Complex.
  • Trains and supervises a team of Booking and Event Facilitators to support effective and efficient facility use and to maximize revenue generation.

Minimum Qualifications

  • An undergraduate degree in Recreation, Sport Management, Kinesiology, Sport Facility Management, and equivalent experience demonstrating leadership in Sport, Recreation, and Administration
  • At least 5 years of experience in facility allocation, staff supervision, and client-focused service with demonstrated increasing responsibility and accountability.
  • Intermediate First Aid, Level C CPR within 2 years required.
  • Police Information Check is required.
  • Superior communication skills are required.
  • Experience in Recreation Management Software is required.

Preferred Qualifications

  • Intelligenz experience preferred.
  • Experience with Google Apps.
  • Knowledge of recreation programming, athletics, and sports competition.
