We also offer educational support, profit sharing and participation in our recognition and annual salary review program.Opportunity SummaryAs the Office Coordinator reporting to the Executive Assistant and Office Manager, you will support and be instrumental to the organization in many different areas related to administration and our company culture.Role and Responsibilities:

  • Answer and transfer inbound phone calls to appropriate staff members
  • Greet and direct visitors and clients
  • Arrange and receive couriers, and sort and distribute incoming faxes, mail, and emails
  • Maintain and order office supplies
  • Coordinate maintenance of office equipment in partnership with Office Manager
  • Maintain an inventory of site and office equipment
  • Order site signage for Vancouver sites and head office kitchen supplies
  • General administrative duties including photocopying, fax, and mailing
  • Schedule meetings and training sessions for the boardrooms and arrange refreshments and catering
  • Organize social events in the office
  • Record all incoming cheques and coordinate cheque collection
  • Order business cards for Scott staff, and maintain and update all office lists
  • Order and issue Purchase Order books
  • In conjunction with Office Manager, participate in Scott Health & Safety Program
  • Maintain billing for site expenses
  • Maintain tidiness of kitchen
  • Keep project list, cell phone list etc. up to date
  • Request print jobs from vendor when the volume is too high to do in house
  • Process purchase orders, scope amendments and maintain progress summary for WorkSafeBC team, correspond with Claimants, WorkSafeBC and health professionals as required
  • Assist with updates, edits, distribution of operations and department documentation as required
  • Other duties and projects as assigned

Qualifications:

  • At least 3 years of Administration and/or Office Coordination experience with one year of reception
  • Excellent organizational, time management, verbal, and written communication skills
  • Proven ability to establish positive working relationships, communicate and work with various organization levels – be a team player
  • Intermediate level of familiarity with Microsoft Office Suite
  • Able to show discretion with confidential / personal material
  • Able to work under internal deadlines and able to prioritize work
  • Able to prioritize and being proactive
