The Operations Analyst is a detail-oriented professional responsible for optimizing warehouse and inventory processes to ensure efficient operations. This role involves overseeing and optimizing inventory records and materials, including procurement responsibilities and vendor relationship management to meet budgetary constraints and project timelines. Additionally, the Operations Analyst coordinates project schedules with internal teams, manages data related to operations and installations, and focuses on process improvement and documentation to enhance productivity and workflow.Detailed Job Description:Operations and Continuous Improvements
- Identifying operational requirements and opportunities for improvement.
- Ensuring documented procedures are accurate and up to date
- Working with VP of Operations, Installations and Service Manager, and Office Manager to implement changes as required
- Training employees to follow new processes for operations as required
- During project kick-offs, they will assist the Project Manager or Installation and Service Manager in documenting notes and creating accurate meeting minutes
Warehouse and Inventory
- Oversee storage, organization, and distribution of equipment, materials, and tools
- Maintain accurate inventory records and ensure timely restocking of all Stock-Item inventory
- Ensure equipment and materials are available for project, services, and maintenance work.
- Allocate three days per week to pick equipment
- Manage all shipping and receiving of equipment and supplies
- Implement inventory control measures to prevent shortages and overstock situations
- Coordinate with other departments to streamline material handling and inventory processes
Purchasing
- Coordinate with Operations and Installation team to purchase just-in-time inventory and to ensure stock inventory level does not fall below specified threshold
- Stock Inventory level need to be reviewed twice a week, initiate purchases
- Monitor and review the performance of product suppliers to ensure the goods meet quality, service, and pricing standards
- Review vendor contracts, complete vendor reviews, monitor overdue orders daily, coordinate communication to suppliers on issues such as rejected product, pricing errors, etc., and act on material shortages
- Produce monthly purchase reports for management team (TBD)
Scheduling
- Coordinate the billable (on-site) and non-billable activities and assignments of the Operations team, IT Analyst team, and Installations team
- Manage the Operations Team’s daily schedule
- Create detailed work schedules and allocate resources efficiently
- Collaborating with all departments to ensure projects are completed within specified timeframes
- Work closely with internal team members to build, evaluate, and optimize project schedules
Accepted Estimates Coordination
- Process customer orders (Accepted Estimates) and ensure accurate documentation
- Coordinate with various departments to fulfill order requirements
- Create job work orders and assist in preparing task lists to accompany the work order.
- Maintain customer satisfaction and ensure a smooth operational flow from order receipt to delivery
Data Management
- Collect, store, and analyze data and information to provide insights to VP of Operations
- Maintain accurate records of inventory, purchases, scheduling, and work orders
Work & Education Experience Requirements:
- Bachelor’s Degree from an accredited college or university
- Business / administration management degree is a must
- IT, data management related degree is an asset
- Strong proficiency with Microsoft Office suite and data management tools
- Strong analytical and detail-oriented aptitude; a high degree of accuracy is required
- Excellent communication and organizational skills
- Ability to manage time effectively, set priorities and meet deadlines
- Ability to work in fast-paced, and self-motivated work environment
