They have built exceptional industry recognition delivering results for a variety of mechanical services, including installation and maintenance for Institutional, Commercial and Industrial building construction projects as well as Mid-Hi Rise Residential.Recognizing that their people are the key contributor to their success, becoming a member of the MML team offers several benefits, including professional growth and advancement opportunities.The Mattina office is in Hamilton, Ontario.Summary of RoleThe Project Coordinator (PC) is responsible for managing the technical communications, documents, purchase orders, invoicing, and the relationship between our client’s home office in Hamilton, Ontario and their client’s office. The PC will be working with project engineers, owners, City and Provincial authorities, and other stakeholders. The PC has a good understanding of the mechanical construction process and is well organized to manage multiple projects. The PC is supported by both the Project Managers and the Field Managers.What you will be doing
- Manage project documentation including contracts, drawings, purchase orders (PO), shop drawings, all correspondence, equipment deliveries, etc.
- Review of project contract scope against bid scope and reconciliation of differences with GC. Determines if there are gaps in the scope as defined by estimating
- Development of purchase order documentation for Vendors and Subcontractors based on quotations and project requirements
- During Project handover from Estimating, reviews project specifications, drawings, equipment PO, Sub-contractors PO, schedules, budget data and all other project related documentation.
- Obtains and Reviews Shop drawings, coordinates approval with GC and Engineer. Determine if shop drawings are applicable and accurate
- Assists the Field Manager in coordinating Sub Contractors
- Conducts field meetings the PM and FM and develops the meeting minutes
- Tracks and coordinates all Vendor shop drawings and delivery dates with FM
- Prepares Request for Information (RFI), generates change order and/or work orders
- Coordinates with GC, Owner, or Engineer to resolve coordination issues. Obtains support from the PM or FM as required for difficult issues
- Develops progress invoices for the project on a regular schedule. Coordinates all billing issues with the GC or Owner. Works with GC to negotiate schedule of values
- During the Project, regularly monitors progress billing and subcontractor billing to ensure timely cash flow. Can determine what subtractor progress billing levels should be if an invoice is not received
- Can negotiate with Subcontractors in the best interest of MML when issuing POs
- Develops the O&M manual package throughout the project
- Coordinates submissions and maintains the as-built drawings for the project
- At Project Completion, determines that all project invoicing has been completed
- At “near” Project Completion, implements the necessary tasks to achieve project closeout, including a billing review
- Accountable for supporting other PCs and FMs
- Support field staff and projects using technical skills and equipment as required/as skillset supports
- Supports project forecasting activities, and required follow-ups
Requirements
- Minimum of 2-5 years of project coordination experience in the construction industry
- Project coordination experience with Institutional, Commercial, Industrial (ICI) or mid-rise residential construction projects.
- Diploma or Degree from a Construction related program is an asset
- Licensing / Red Seal certification is an asset
- Demonstrated ability to balance tasks related to multiple construction projects
- Proficient working knowledge of Accubid, Change Order, Procore or equivalent software
- Demonstrated ability to organize and manage multiple tasks
- Good communications skills, both written and verbal
- Driver’s License in good standing
- Ability to work from Hamilton, Ontario office with flexibility to travel to job sites when required
