Job description: About the Opportunity

  • Develop and maintain tenant and landlord relationships through prompt and courteous communication.
  • Manage rental property leases with tenants, including discussion over terms, invoices, rental advice, property maintenance costs, and requested inducements.
  • Monitor property maintenance and coordinate repairs as needed.
  • Prepare first draft of tenant lease renewal agreements based off existing contracts.
  • Act as main point of contact with advisors, including realtors and legal counsel with respect to vacancies and renewals.
  • Coordinate preparation of summer and winter maintenance contracts with Delta Operation Managers at each property, ensuring they are completed in line with insurance requirements.
  • Review and ensure adequate tenant and liability insurance coverage; and
  • Respond to owner and tenant inquiries.
  • Property Accountant:
  • Manage day-to-day banking, accounts, transfers and loan facilities.
  • Ensure rent and common area fees from all tenants are collected in full upon the due date.
  • Calculate year-end common area statements for tenants, including calculations of total shared expenses incurred by property and each tenant’s proportional amount.
  • Prepare rental notices at the beginning of each year to adjust common area fees based off prior year expenses incurred.
  • Calculate and file monthly HST taxes and pay monthly income tax instalments.
  • Review property tax invoices for reasonability and accuracy and ensure timely payments.
  • Prepare month-end journal entries, including bank transactions, setting up of receivables from tenants, prepaid transactions and amortization, capitalization and depreciation of assets, loan payments, interest income and expense from day-to-day banking, payments from tenants.
  • Prepare balance sheet reconciliations monthly to ensure accuracy of accounts.
  • Prepare first draft of monthly financial statements for Corporate Controller to review.
  • Participate in the annual audit of financial statement with help from the Corporate Controller; and
  • Undertake other tasks and housekeeping duties as assigned by the Corporate Controller or CFO.
  • Help prepare financial packages/market surveys
  • Screen and prioritize incoming communications, including phone calls, emails, and mail

About You

  • Strong proficiency in English (written and verbal) and interpersonal skills.
  • Minimum of 3 years’ experience in property management or real estate.
  • Background in financial accounting or bookkeeping.
  • Strong negotiation and problem-solving abilities.
  • Effective communication and organizational skills for liaising with stakeholders, managing meetings, maintaining accurate records, and responding to inquiries.
  • Basic computer knowledge including and understanding of Microsoft Office.
  • Familiarity with NetSuite is an asset but not required.
  • Ability to identify inaccuracies and use problem solving and investigative skills to resolve and correct issues.
  • Self-starter with the ability to prioritize tasks and manage multiple projects within specified time frames.
  • A proactive team member who is highly service oriented and able to positively react to changing priorities with a ‘can do’ attitude.
