You will play a critical role in the development and submission of proposal submissions, ensuring they are compelling, compliant and delivered on time. You’ll collaborate with various contributors from different teams, gathering necessary information to create winning submissions. As a member of our Marketing and Communications team, you will work closely with operations teams and subject matter experts to respond to clients’ requests for proposals (RFPs).This is an 18-month contract opportunity. Here’s how a Proposal Coordinator for our Calgary office contributes to our team:Responsibilities

  • Initiates the proposal planning process, including review of client requirements, development of proposal responsibility matrix and content outline and creation of timeline/assignments.
  • Proactively tracks and maintains communication and assignments among all team members to ensure internal deadlines are met.
  • Evaluates narratives for relevance, comprehension and applicability. Writes new proposal narratives as required.
  • Accurately proofs and edits to deliver a high-quality, compliant, error-free submission on time. Ensures content is written in a singular voice and that there is continuity in the messaging throughout the document.
  • Develops visually compelling submissions using InDesign and translates a proposal “vision” into a compelling proposal layout.
  • Creates graphics and other visual communications, involving strategic image selection and/or acquisition.
  • Identifies interview requirements and coordinates the presentation resources. May schedule and coordinate interview prep workshops as necessary.

Qualifications

  • Postsecondary degree or diploma in information design, marketing, communications, journalism or a related discipline.
  • Advanced InDesign layout skills are required; proficient skill with Photoshop and PowerPoint and the ability to create brand-compliant visual content.
  • 2+ years of experience in a proposal, information design or communications role.
  • Strong verbal, written and visual communication skills. Ability to produce grammatically sound written communications with a customer focus.
  • Demonstrated proficiency in design and branding concepts, ensuring visual communications align with the company brand.
  • Strong project management, organizational and time management skills to effectively establish priorities and scheduling or work tasks.
  • Superior attention to detail.
  • Ability to manage multiple tasks simultaneously.
  • Ability to work collaboratively in a team environment.
