Job description: Position Overview: As the Reception and Accounting Administrator, you will serve as the front-line support for the office while providing essential assistance to the accounting and project teams. Your responsibilities will range from managing incoming calls and deliveries to handling administrative tasks related to accounting, procurement, and construction documentation. This position requires someone who is organized, proactive, and able to juggle multiple tasks efficiently. The ideal candidate will have a university degree and relevant experience in office administration, with a focus on accounting support.Key Responsibilities:
- Greets all visitors, answers questions, and directs to meeting rooms, or connects them with staff members.
- Arrange and coordinate deliveries and pickups.

- Manages, monitors, and responsible for general maintenance of reception area.
- Manage office supplies by reordering items as needed to ensure smooth operations.
- Track company tools through the One-Key system.
- Match delivery slips with invoices and ensure proper documentation.
- Assist with general office memos and help with estimation calls and inquiries.
- Type up purchase orders (POs) for the project team.
- Assist in obtaining COR documentation from subcontractors and ensure compliance with safety regulations.
- Help collect and maintain up-to-date WSIB and insurance certificates from trades.
- Provide administrative support to the accounting team, including filing, data entry, and organization of records.
- Other administrative tasks as required to ensure the smooth running of the office.
Qualifications:
- Bachelor’s degree required (preferably in Business Administration, Accounting, or a related field).
- Minimum 1-2 years of experience in office administration or a similar role within a construction company.
- Strong organizational and multitasking abilities, with great attention to detail.
- Excellent communication skills, both verbal and written.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) is required.
- Familiarity with basic accounting procedures is an asset.
- Experience in the construction industry is an asset, but not required.
- Ability to work independently and as part of a team.
