Job description: Your Opportunity:We are currently seeking a highly organized and compassionate individual for the role of Administrative Support IV for Inpatient Psychiatry 5North and Short Stay Service at Medicine Hat Regional Hospital. The ideal candidate will have an understanding of addiction and mental health challenges and be able to work in a busy and fast paced environment with shifting priorities and overlapping deadlines. Working under minimal guidance and direction, the Administrative Support IV utilizes enhanced skills to perform varied and specialized activities. The key responsibilities for this position include administrative support to unit manager as well as the department. Assisting the manager with the recruitment and onboarding process, staff scheduling and time away requests, staff education tracking, payroll and coordinating with the staffing office is required. This role will also require composing, editing and formatting documents and reports to support operations in reviewing program performance, statistics and financial activities such as data for accounts payable/receivable, expense claims, invoicing, and resolving discrepancies and resolving discrepancies consistent with applicable processes and guidelines. This person will also be responsible for ordering supplies and assisting the manager with budget and variance reporting. Supporting the department by scheduling meetings, taking minutes, and preparing agendas are also required. This position has transitioned to Recovery Alberta effective September 1, 2024. Required Qualifications:Some post-secondary education. Additional Required Qualifications:As this position requires specialization of responsibilities, enhanced problem solving and decision making, a minimum of 5 years’ experience in an office setting is required. This successful candidate will have advanced working knowledge of various Microsoft programs, including Outlook, Word, Excel, PowerPoint and Teams. The successful candidate will demonstrate strong organizational and technical skills, adaptability to different software systems, and the ability to efficiently manage digital communication, documentation, and purchasing processes. Preferred Qualifications:Proficiency in Netcare, Connect Care, Zoom/MS Teams, Oracle (iProcurement and iExpense) eFacilities, are preferred. Knowledge with Procurement Card (P-Card). Markview (invoicing, account coding and approvals), and purchasing for business purposes. A working knowledge of ePeople (payroll system), ESP (Environment for Scheduling Personnel) and RMS (Recruitment Management System), along with various collective agreements and pay codes/payroll processes are preferred.
