We are seeking an Assistant Property Manager to support our Calgary Office portfolio, which includes Eau Claire Tower, Centennial Place, and 400 Third, totaling over 3 million square feet.In this dynamic role, you will collaborate with Senior Property Managers to deliver exceptional service to our customers and guests. Your responsibilities will encompass effective communication, addressing customer concerns, and assisting with day-to-day administrative and reporting tasks to ensure smooth property management operations.As a key member of our engaged and ambitious team, you will be part of a world-class culture that prioritizes people development and long-term growth. We go above and beyond to build and maintain relationships by anticipating needs, being honest and considerate, and valuing our customers as genuine partners.As a member of this team, you will be responsible for:Customer Relationship ManagementMaintaining “World Class” customer relations with customers.Establish and maintain customer relationships to understand customer needs and resolve concerns;Ensure customer interactions are updated in CRM database;Ensure prompt and courteous attention to customer requests;Working to communicate effectively and in a timely manner with customers before, during, and after any construction project;Manage customer onboarding and offboarding procedures.Management and 3rd party management oversight of the day-to-day operations of the parkade and bike parking;Oversee customer lobby uses, marketing, events, company functions and charitable event;In collaboration with the Community Manager, assist with corporate marketing and events including posters, ENN/Pattison screens, lunch and learns, building wide events.ReportingRegular review of tenant parking obligations and reconciling parking manager’s records;Assist in ensuring all reports are prepared accurately and in a timely manner, recognizing the importance of internal and external relationships;Assist in annual budget preparation;Assist with quarterly reforecasting/reporting;Assist with monthly management and complete revenue variance analysis; andAssist with monthly accruals.Lease AdministrationLease interpretation and ensure requirements are adhered to;Assist with customer renewals, expansions and landlord consents;Assist with reviewing leasehold improvement allowance and parking requirements as per the lease;Oversee storage license agreements and renewals;Assist and coordinate as required the broker fee payments and distribution with Property Administrators.Accounts ReceivableAfter Property Administrator’s initial collection efforts, collection/contact continued by APM as approved by Sr. PMs;Assist Property Administrator with default preparation and delivery notices to customer’s with respect to landlord remedies under the lease, recommend legal action to GM/Sr. PMs and assist legal counsel as required.General Office AdministrationDevelop complete understanding of all documentation and flow, providing support to all departments if required.Liaise with internal and external partners;Attend department and customer meetings and take minutes if required;Routine building and unit inspections.OtherMonitor and follow up on MAXX Support requests as required;Assist with hospitality program;Assist with Zero Waste Program, resolve any customer issues; andAll other duties and projects as assigned from time to time.To succeed in this role, you:Minimum of 3-5 years of experience in Property Management requiredDemonstrated ability to multi-task and manage priorities under pressure with careful attention to detailExperience in managing operational budgetsProject management experience is an assetCustomer service and/or hospitality experience is an assetDemonstrated analytical and decision-making skillsStrong computer skills and knowledge of MS Office requiredExcellent communication skills both written and oralStrong interpersonal skills for working closely with customers and customersPost-secondary degree with focus in business or equivalentEnrolment in RPA/CPM is an assetOxford’s purpose is to strengthen economies and communities through real estate.Our people-first culture is at its best when our workforce reflects the communities where we live and work — and the customers we proudly serve.From hire to retire, we are an equal opportunity employer committed to an inclusive, barrier-free recruitment and selection process that extends all the way through your employee experience.
