- Responsible for reception during office hours, greeting visitors with a warm welcome an delivering world-class service to customers.
- Manage purchasing of office supplies and equipment, ensuring proper stock levels are maintained.
- Manage and coordinate multiple calendars.
- Coordinate and schedule internal and external meetings, appointments and team social events
- Coordinate travel arrangements and reservations
- Review, modify and prepare comprehensive templates, letters, reports, PowerPoint presentations, Word documents, Excel workbooks and other correspondence materials; research, compile and summarize information/data as applicable.
- Coordinate all social events for the office, including planning, implementation, and tear-down.
- Order refreshments and restock as needed, manage grocery inventory for office use.
- Conduct mid-year and year-end inventory checks.
- Oversee building maintenance and office cleanup to ensure a clean and presentable workspace.
- Coordinate with property manager for facility-related matters.
- Manager floorplan coordination for new hires and office layout changes.
- Assist with new hire onboarding and departure equipment collection.
- Maintain office safety and security protocols.
- Handle mail, shipping, and receiving tasks.
Skills and Experience
- Post-secondary education in administration is considered an asset.
- Administrative experience in a professional working environment is considered an asset.
- Proven exceptional customer service skills are a requirement.
- Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously.
- Demonstrated computer literacy including effective working skills of Microsoft Word, Excel and PowerPoint (Visio would be an asset)
- The ability to work with minimal supervision within a collaborative team environment.
